Every day, university teams deal with countless phone calls. Gathering basic information from every caller eats into scarce staff time, reducing productivity and often frustrating the caller. To improve this process, we’ve developed a powerful system that integrates phone and CRM systems.  Candidate and student details are stored securely, providing instant identification of each caller.  The user-friendly application also provides the operator with other helpful information, ensuring quick, clear and efficient communication every time.

 

Main features

To improve communication, we integrated two systems and developed a combined desktop and web application equipped with the following features:

 

Student details

Inbound calls from a recognised number automatically display personal details in the app.

Cases 

During the call, operators can easily access previous communication history with the caller.

Financial management

accurately predict production costs based on estimated material and labour costs.

New contact

If the caller is not an existing contact, a blank contact form is opened automatically, allowing the operator to add the caller’s details to the database in moments.

CRM search

If the caller’s number is not recognised by the system, the operator can search the CRM database for the caller’s name. If the number is connected to more than one contact on the system, the operator can select the caller’s name from a list.

Notes

To ensure call resolution and improve future communication, operators can easily add extra notes to the caller's file, keeping all relevant staff updated.

Ensure correct payment every time.  Our solution prompts instructors to log the number of participants in a class and then sends the information directly to the venue. At the end of a billing cycle, the system automatically submits an invoice to the venue and provides a copy for the instructor.
